Connect to Salesforce

Enable the plugin, authorize, and verify the connection. Takes about 3 minutes.

Before connecting, make sure you're logged into Salesforce in your browser. There's only one org — just use your normal login.

  1. Go to your Salesforce login page
  2. Log in with your normal credentials
  3. Keep this tab open — Claude will use this session to authenticate

Open a new Cowork session and ask Claude to identify you in Salesforce. This triggers the one-time authorization.

Who am I in Salesforce?
  1. A browser tab will open with a Salesforce authorization screen
  2. Review the permissions and click Allow
  3. The tab will close automatically — switch back to Claude
  4. Claude should respond with your name and Salesforce profile
If you see your name, you're connected! You only need to authorize once. Future sessions will connect automatically.
Note for the Stalled Deal Pinger: Claude needs your Salesforce connection to identify which deals belong to you and to write updates back after you reply. This authorization is what makes the two-way sync possible.

The Stalled Deal Pinger

How the automated two-part workflow keeps deals moving with almost no effort from you.

The Stalled Deal Pinger is a fully automated two-part workflow that runs every weekday. Here's the full cycle:

Part 1 — Morning (Around 8am MDT): Claude queries Salesforce for any of your deals that are in SAO stage or later, closing in 2026, and haven't been recently updated. If it finds stalled deals, it sends you a Slack DM listing them with their details.

Part 2 — Afternoon (Around 4pm MDT): Claude reads the replies in each Slack thread, interprets what you wrote, and automatically updates the Next Step and Stage fields in Salesforce. It then sends Christina a summary of all changes made that day.

Nothing to set up. This workflow is already running. You'll start receiving pings automatically as long as your Salesforce connection is active.

Claude looks for deals that meet all three of these criteria:

  • Stage: SAO (Sales Accepted Opportunity) or any later stage
  • Close date: Closing in 2026
  • Activity: No logged activity in 14+ days — "last touch" means the last time an email, call, or note was logged on the opportunity record in Salesforce
Early-stage deals won't be pinged. Deals in Discovery or earlier stages are not included. Only deals that are actively progressing (SAO+) and showing no movement get flagged.

If you have a deal that looks stalled but you've been actively working it, make sure you're logging emails, calls, or notes on the opportunity record in Salesforce — that's what resets the clock.

Around 8am MDT on weekdays, you'll receive a direct message from Claude in Slack if you have stalled deals. It will look something like this:

Reply in this thread with a quick update on each deal — what's the status, any stage change, and what the next step is. I'll update Salesforce for you by end of day! ✅
No action needed until you're ready. You can reply to the ping anytime before Around 4pm MDT and your updates will be captured. Replies received after Around 4pm MDT will be picked up the following business day.

Reply directly in the Slack thread (not as a new DM — use the thread reply). Write naturally — Claude understands plain English. Just tell it what's happening with each deal.

Claude will pick up on three things from your reply:

  • Next Step — what you're doing next (e.g., "sending a proposal Friday", "following up after their board meeting")
  • Stage change — if you mention moving a deal forward or back (e.g., "move to Negotiation", "they went cold")
  • No action needed — if you let Claude know a deal doesn't need updating

Example replies that work well:

Acme Corp — call scheduled for Friday, I'll have a proposal to them by end of next week. Move to Negotiation. Widget Co — went quiet after the last call, following up Monday. Keep stage as-is, next step: send check-in email.
Acme — they're in budget review, decision expected May 15. Next step: check in May 14. Widget — actually closed lost, pulled out of budget process.
Both of these I've been actively working — update next steps to "following up this week" for both, no stage changes.
Reply in the thread, not as a new message. Click "Reply" on Claude's original ping message so your update is linked to the right deals.
Don't stress about the format. Claude doesn't require a specific template — just be clear about what you want updated. If it's ambiguous, Claude will make its best interpretation and you can see the changes in Salesforce.

Every weekday at Around 4pm MDT, Claude runs a second automated task that:

  1. Reads all the replies that came in from reps since the morning ping
  2. Matches each reply to the correct Salesforce opportunity
  3. Updates the Next Step field with what you said
  4. Changes the Stage if you mentioned one
  5. Sends Christina a summary of all deals updated, what changed, and which reps didn't reply
Your Salesforce record is updated automatically. You don't need to log into Salesforce to record your update — your Slack reply does it for you.
Deadline to reply: Around 4pm MDT same day. Replies received after the afternoon processor runs will be picked up the following business day.

After Around 4pm MDT on any day you replied to a ping, you can ask Claude to verify that your Salesforce updates went through.

Show me the current Next Step and Stage for [opportunity name]
What's the latest on my open opportunities? Show me the Next Step for each one.

You should see the values you described in your Slack reply reflected in Salesforce. If something looks off, you can ask Claude to correct it directly:

Claude will always show you the before and after, and ask for your confirmation before saving any manual update.

Troubleshooting & FAQ

Common questions about the pinger and how to handle edge cases.
Yes! If you didn't receive a Slack DM by ~8:15 AM, Claude found no stalled deals for you that day. Your pipeline is in good shape — or all your deals were recently updated. You'll hear from Claude again tomorrow if anything stalls out.
This can happen if the reply was ambiguous. Open a Cowork session and ask Claude to make the correction manually — just tell it the deal name and what the Next Step or Stage should say. Claude will confirm before saving. If this happens frequently, try to be more specific in your replies (e.g., "Next step: send proposal by Friday May 2" rather than "sending something soon").
Yes, but not until the following business day. The afternoon processor only runs once per day at Around 4pm MDT. If you reply late, your update will be captured in the next day's run. If the update is time-sensitive, log it directly in Salesforce or ask Claude in a Cowork session to update it right now.
Reply to the ping with context — for example, "This deal is on hold pending their Q3 budget review, no action until August." Claude will update the Next Step with this note, and since the record will now show a recent update, it won't flag as stalled for a while. You can also update the Next Step or Close Date directly in Salesforce to reflect reality.
Check a few things: (1) Make sure your Salesforce plugin is enabled in Claude's settings. (2) Confirm you're connected — open a Cowork session and ask "Who am I in Salesforce?" (3) Check that Claude is allowed to DM you in Slack — look for a pending DM request from the Claude app. If none of these resolve it, reach out to Christina to check the pinger configuration.
Absolutely. Open a Cowork session anytime and ask:
Show me all my open opportunities that haven't been updated in over 14 days. Flag anything in SAO stage or later.
This gives you the same view the pinger uses, without waiting for the Around 8am MDT run.
